Group Reservations Terms of Use

International Flights

General
A group booking is a booking with at least 10 full-paying passengers. In this case, the departure airport and the destination airport must be identical, and the group must start and finish the journey together.

Group request

The group requests will be handled through our SunExpress Reservation System (B2B).

Non-authorized agencies can request group bookings in following link.

Group fares

Group fare will be granted only for minimum 10 full-paying passengers and will be calculated based on up-to-date fares.

  • Since it is not possible to use return flight offers for one-way flights, the prices offered for one-way flight requests may differ.
  • Group offers are based on SunValue fares. The fee quoted includes airport taxes and fuel charges and reflects the amounts to be paid to SunExpress Airlines. Changes in airport taxes or fuel charges will be automatically reflected for bookings where tickets have not yet been issued.

Group offer

  • You will receive an offer with a price option. The option offered is based on the flight date and the availability of the requested flights.
  • If you accept the offer, either via the reservation system or if you should not be a direct agency by e-mail, you will be informed of the payment options.
  • We would like to inform you that seats cannot be blocked for your group before the offer has been accepted.
  • If you do not accept the offer during the price option, it will automatically expire. If you re-send your request, the new price offer may be different to the original offer.
  • SunExpress Airlines has the right to change the number of seats to be confirmed according to the availability of the flights.

Payment

All Payments should be added to the PNR before the time limit is expired if the payment receives us late or added late to the PNR will be cancelled to the fullest charge in accordance with our terms and conditions.

For authorized agencies:
Payment can be made by bank transfer, credit card or with agency credit. If you choose to pay by bank transfer, please inform us accordingly via the reservation system and add the booking number in the subject line of the bank transfer

Non-authorized agencies:

Payments can only be made by bank transfer. Please add the booking number in the subject line of the bank transfer and confirm the payment via the link in the email.

Upon payment, please send the bank transfer receipt by e-mail to gruppen@sunexpress.com before the payment option expires.

Cancellation:

Cancellation Fees Conditions and Timeframe
Free Cancellation after deposit After the deposit payment has been made, the number of people can be reduced by max. 20 % for free.
After the reduction of passengers, the booking must consist of at least 10 passengers and for golf groups at least 8 fully paying people.
If the free cancellation after deposit has been used, a free cancellation after final payment is not possible.
Free of charge cancellation after full payment After final payment, the number of group members can be reduced by a maximum of 10% up to 5 days before departure.
After the reduction of passengers, the booking must consist of at least 10 passengers, for golf groups at least 8 full-paying persons.
If the free cancellation after deposit has been used, a free cancellation after final payment is not possible.
15% of the total amount If the group booking is cancelled up to 30 days before departure after the deposit has been paid or if the balance is not paid, the deposit will be retained as a cancellation fee.
The free cancellation condition after prepayment cannot be applied here.
100% of the total amount If the group booking is cancelled after full payment and less than 30 days before departure, the total amount will be retained as a cancellation fee.
The free cancellation conditions after full payment cannot be applied here.

Rebooking

More than 30 days prior to departure, the whole group can be rebooked once depending on availability (flight date and/or destination changes). Additional costs resulting from a higher fare for the alternative flight may apply. A downgrade in fare is not possible.

From 30 days before departure, it is not possible to make any rebooking’s.

Name changes

If you have arranged the booking via our own booking system (B2B), you can enter the list of names into your booking independently by the specified option deadlines.

For international flights, the names of passengers must be registered at least three days before departure. Name changes or entries are no longer possible from three days before departure.

Special reservations
After PNR is created, authorized agencies can add special services to their group bookings directly in the reservation system.

Payment option
After confirmation of the price offer you will receive a payment option, which will be determined according to the availability of the flights and forwarded to you. Please note that no seats will be blocked for the group until payment has been received.

After receipt of payment, the flights will be checked for availability and booked if available. SunExpress has the right to determine the number of seats to be confirmed according to the availability of the flights concerned, and in the event of non-payment or delayed payment, the PNR will be automatically cancelled.

Payment

All Payments should be added to the PNR before the time limit is expired if the payment receives us late or added late to the PNR will be cancelled to the fullest charge in accordance with our terms and conditions.

Flight and/or destination changes can be done for the whole group depending on the availability and equivalency of the conditions 21 days prior to departure at the latest. Additional Charge could be applied, if the rebooked flight has a class difference, downgrade is not possible. From 21 days before departure, it is not possible to make any rebooking’s.

Name Change

If you have made the booking via our own booking system (B2B), you can enter the list of names in your booking independently by the specified option deadlines.

For domestic flights, the names of the passengers must be entered at least 24 hours before departure. Name changes are no longer possible after this time.

Special reservations:
After PNR is created, authorized agencies can add special services to their group bookings directly in the reservation system.
